1) Background & Objective

Thesis Eduventures Pvt. Ltd. invites proposals to design, develop, test, and deploy a comprehensive accounting suite similar in scope and functionality to Zoho Books.

The goal is to create a scalable, secure, and user-friendly multi-tenant accounting system with both web and mobile applications tailored to Indian financial and tax compliance requirements (GST, TDS, E-Invoicing).

2) Scope of Work

A. Core Functional Modules (Reference: Zoho Books)

1. Organization & User Management

   • Multi-organization setup with financial year management.

   • Role-based access control and audit logging.

2. Sales Management

   • Customer master, items, price lists.

   • Estimates, invoices, delivery challans, payments.

   • Customer portal for viewing invoices and statements.

3. Purchases

   • Vendor management, purchase orders, bills, vendor credits.

4. Banking

   • Bank and cash account setup, reconciliation, CSV imports.

5. Expenses & Claims

   • Expense categories, claims, and attachment uploads.

6. Inventory

   • Items, stock-in/out, valuation, alerts for low stock.

7. Projects & Timesheets

   • Project/task management, time tracking, billable hours.

8. Taxes & Compliance

   • GST configuration, HSN/SAC codes, automatic calculation.

   • GSTR summaries, TDS calculation and reports.

9. Payments & Integrations

   • Razorpay/UPI/Stripe integration for invoice payments.

   • Email and WhatsApp invoice links.

10. Reports & Analytics

    • P&L, Balance Sheet, Cash Flow, GST Summary, Aging Reports.

    • Customizable report filters and exports.

11. Mobile Application (Android & iOS)

    • Create and send invoices, add expenses, sync data with web app.

    • Offline mode with auto-sync capability.

12. Template Management

    • Customizable invoice, PO, and estimate templates with branding.

3) Non-Functional Requirements

• Security: Encrypted data storage, role-based access, activity logs.

• Performance: Optimized for fast response (< 3 seconds load time).

• Availability: 99% uptime.

• Scalability: Multi-tenant architecture for multiple organizations.

• Compliance: GST-ready, Indian accounting standards compliant.

• Accessibility: Simple, mobile-first responsive design.

4) Technical Stack (Recommended)

• Backend: Node.js (NestJS) or Java (Spring Boot)

• Frontend (Web): React / Next.js

• Database: PostgreSQL

• Mobile: Flutter or React Native (Android & iOS)

• Cloud Deployment: Dockerized containers on AWS / Azure / similar

• Version Control: GitHub / GitLab

5) Deliverables

1. System Requirements Specification (SRS) document.

2. UI/UX wireframes and design system.

3. Fully developed and tested web + mobile application.

4. API documentation (OpenAPI spec).

5. Admin and client portals.

6. Deployment setup and configuration.

7. User training manual and handover documentation.

8. Source code, credentials, and build scripts handed over at completion.

6) Project Completion & Payment

• Total Project Value: ₹50,000 (Rupees Fifty Thousand only).

• Payment Terms: 100% payment after successful completion, acceptance testing, and handover of all deliverables.

• No advance or interim payments will be made.

• Project ownership and all intellectual property rights will belong to Thesis Eduventures Pvt. Ltd.

7) Evaluation Criteria (Total 100 Marks)

Top applicants may be invited for an online demo or discussion before final award.

8) Eligibility

• Open to student teams only.

• Prior experience in developing financial or SaaS-based applications preferred.

• Team must include at least one developer proficient in backend, one in frontend, and one in mobile app development.

• Student teams should provide a faculty recommendation letter (optional).

9) Submission Guidelines

• Submit one Technical Proposal (PDF) and one Commercial Proposal (PDF).

• Technical Proposal should include:

  • Understanding of requirements

  • Proposed architecture and tech stack

  • Project plan & timeline

  • Sample UI/UX screens

  • Team details

• Commercial Proposal should include:

  • Total cost (₹50,000 fixed, post-completion)

  • Optional breakdown of internal cost structure (not mandatory).

All documents should be uploaded via the official Tender Submission Form on the Thesis Eduventures website.

10) Ownership & Confidentiality

• All code, assets, and documentation created under this project will become the property of Thesis Eduventures Pvt. Ltd. upon successful project delivery and payment.

• The vendor must maintain confidentiality regarding any data, credentials, or business processes shared during the development.
